Convenience is often cited as a large motivator for implementing document management software in the workplace. But exactly what does this mean for businesses that have made the switch over to the digital sphere?

A lot of the time, businesses decide to go paperless by embracing electronic workflow because of the material benefits that can be seen. For instance, once company administrators scan all of the corporate documents online and shred the hard copies, they can immediately start reducing costs.

Picture it this way – no longer will the firm have to pay for large amounts of paper, ink, staples, broken printer parts and a number of other accessories. Moreover, enterprises can enjoy freed up office space when they don’t have to take up part of the floor with storage cabinets.

However, there are definitely intangible perks to going paperless. After digitizing, many company leaders see that their workers are overall more productive and can save time during various processes.

Better access
When you need to look up a piece of information but you have everything in tangible file form, how long does that take you? It depends on the size of the company, the number of clients and the volume of papers in a particular folder, but chances are that even the fastest employees would say a few minutes. And what if one single paper was misfiled? The search could last hours.

However, Vanguard Archives pointed out that instantaneous access would be enabled with the use of a digitized system. After all, workers would just need to search for a specific keyword and the proper document would pop up. Plus, the news source said that this would also be true if an employee was working remotely, which greatly contributes to the productivity of the company as a whole.

More pertinent files
We’ve all gone through old personal files and found things like reports from high school or other papers that we don’t need anymore. The same is true within a business – there are probably a number of documents floating around that are taking up space and making finding specific pages tougher.

As the Houston Chronicle noted, one aspect of the convenience that a paperless system would provide is that during the scanning process, administrators could throw out or shred all of the files that are no longer pertinent, tightening up the business’ archives. This would get rid of everything that’s outdated and make each folder and document more relevant going forth.
